Barti's permission system lets admins assign granular roles to users, controlling access to specific features like reports, refunds, and exam signing.
Understanding Account Types and Roles
Every user has an account type and, for non-admin users, one or more permission roles.
Account Types
- User — Standard access to core Barti features. Access to reports, refunds/credits, payment deletion, and exam signing is controlled by the permission roles assigned below.
- System Admin — Full access to all features in Barti. System Admins do not require permission role assignments.
Permission Roles (for User account type)
| Role | Grants Access To |
|---|---|
| Manager | View reports, issue refunds/credits, delete payments |
| Provider | Sign exams |
Users can hold both roles at the same time. New users are created with both Manager and Provider roles by default.
How to Update a User's Account Type or Roles
- Go to Organization Settings > Staff Members
- Click anywhere on the user's row to open the Edit Staff Member modal
- In the Account Type field, select User or System Admin
- For User account types, check or uncheck Manager and/or Provider as appropriate
- Click Update Staff Member
Changes take effect immediately.

Frequently Asked Questions
What is the difference between User and System Admin? System Admin users have full access to all features including reports, billing, and all organization settings. Users have standard access to core Barti features; their access to reports, refunds/credits, payment deletion, and exam signing is determined by their assigned permission roles (Manager and/or Provider).
What happens if a user has no roles? A user with the User account type and no roles assigned has base access only — they cannot view reports, issue refunds/credits, delete payments, or sign exams.
Can a user have both Manager and Provider roles? Yes. A user can hold both roles simultaneously and will have access to all features those roles grant.
Can I have more than one System Admin? Yes. We recommend having at least two System Admins so there is always a backup if one account becomes unavailable. Barti will prevent you from removing the last active System Admin.
