How do I create and process invoices in Barti?

Create an invoice directly from a completed exam or from an optical order. Once created, you can post patient payments against it from the same screen — insurance payments should go through Insurance → Payments instead.

Create an invoice from an exam

  1. Open the patient's exam.

  2. Click Create Invoice at the top of the exam.

  3. Choose the appropriate services based on the CPT codes added to the exam

  4. Click Create Invoice.

Adding exam services to an existing invoice

In cases where a copay is collected upfront, you may need to add a later exam's services to an existing invoice instead of creating a new one.

  1. Create or complete the exam for the patient, adding the relevant Procedure Codes and ICD-10 Codes.

  2. Click the dropdown next to Create Invoice to access Add to Existing Invoice.

  3. Choose Add to Existing Invoice. By default, the patient's most recent invoice is selected — you can choose a different one if needed.

The exam's procedures and ICD-10 codes are added to the selected invoice. As with optical orders, an exam's charges can only go to a single invoice — once added, that can't be redone or redirected to a different invoice from the exam.

Create an invoice from an optical order

  1. Open the patient's optical order. The order must be saved before Invoice Options appears.

  2. Click Invoice Options.

  3. Choose Create New Invoice or Add to Existing Invoice.

Post a patient payment

  1. Open the invoice.

  2. Click + Patient Payment.

  3. Confirm or adjust the amount — click the down caret in the Amount Paid field to pay per line item or make a partial payment.

  4. Select the payment method and click the button for that method:

    • Cash, Credit Card, Check, EFT, Other → Add Payment

    • Credit Card (Stripe) → Enter Credit Card Details, then Collect Payment once the card number is entered

    • Credit Card Terminal (Stripe) → Collect Credit Card Details

    • Patient Credit - $X.XX → Apply Max Credit, then Apply Credit

See How do I accept a patient payment in Barti? for the full breakdown of each method.

Posting an insurance payment

Insurance payments shouldn't be posted directly on an invoice, even though the option may be present. Adjustments from the insurance provider — common on most insurance payments — aren't handled properly when posted this way. Post insurance payments through Insurance → Payments instead, even for a single patient. See How do I post an insurance payment in Barti? for the full process.

What you'll see when it works

The invoice appears in the patient's record with a status of PENDING when first created. Once the balance is zeroed out with a payment, the status will automatically change to PAID. Payment history is visible on the invoice.

Troubleshooting

Can I edit an invoice after it's been created?

Yes — almost anything on the invoice can be edited. You can make inline edits to charges, or click the three-dot menu and select Edit to edit a specific line item. Payments can also be edited. You can also add internal notes at the bottom of the invoice. Click Get History at the bottom of the invoice to see a history of all changes made to it.

Can I create an invoice without tying it to an exam or order?

Technically, yes. Invoices must be tied to a patient, but tying one to a specific exam isn't required — although it's highly recommended.

Where do I find a patient's invoice history?

Invoices are accessible from the patient's profile under the Invoices tab.
