How do I create and complete an exam in Barti?

Create an exam from the home screen or directly from an appointment. Exams created from an appointment are linked to it automatically. Once complete, you can create an invoice directly from the exam.

Create an exam

From an appointment (recommended method)

  1. Open the appointment from the calendar or home screen.

  2. Click +New Exam.

  3. The exam opens pre-linked to the appointment and patient automatically.

From the home screen

  1. Click Create New button, then select Exam.

  2. Select the Patient.

  3. Select the Exam Type.

  4. Select the Provider.

  5. Confirm the location.

  6. Click Create New Exam


Complete the exam

The exact Exam layout will depend on the Exam Template used, but all templates are able to include the following sections:

  • History - Chief complaint, patient history, family history

  • Entrance Testing - Lensometry, Visual Acuity, CV Fields, Autorefraction & Keratometry, etc

  • Vision Exam - Manifest Refraction, Glasses and Contact Lens Rx, etc

  • Ocular Exam - Anterior Segment, IOP, Dilation, Posterior Segment

  • Additional Notes - additional findings

  • Assessment and Plan - Diagnosis codes, Procedures, Plans

Key things to know:

  • In general, Exams auto save progress and changes, but there are a few components that require hitting 'Enter' when filling in.

  • The Finalize button at the top is the equivalent of signing the chart.


Create an invoice from the exam

Once the exam is complete, you can generate an invoice without leaving the exam record.

  1. Click Create Invoice at the top of the exam to create a new invoice. Then in the window that appears, choose the appropriate services based on the CPT codes added to the Exam.

What you'll see when it works

The completed exam appears in the patient's profile under Exams and is linked to the appointment it was created from. If Finalized, the status of the exam will be Signed. If the status is Pending, the exam has not yet been Finalized.


Troubleshooting

I created an exam from the home screen — can I link it to an appointment afterward?

No. You can edit the exam start date to match an appointment date, but the only way to truly link an exam to an appointment is to create the exam from the appointment screen.

Where do I find a previously created exam?

Exams are accessible from the patient's profile under the Exams tab. Or you can click on Exams in the left side menu to see all exams. You can also view and open exams from the home screen for today's appointments.

Why is the prescription expiration wrong on this exam?

The expiration field carries forward the last value entered by whoever created or opened the exam — not the finalizing provider. This is per-user: if a technician opens or creates exams ahead of the provider, the expiration defaults to whatever that tech last entered, even if it doesn't match the intended duration for that prescription type. This applies to any prescription with an expiration field on the exam.

Fix: Each person who regularly opens or creates exams should manually set the correct expiration once for their own sessions. After that, it will carry forward correctly for exams they touch going forward.
