How do I use the patient profile in Barti?

The patient profile is your central hub for everything related to a specific patient — their personal information, appointment history, exams, communications, and orders are all accessible from here.

What's in the patient profile

Each patient profile has the same general look and feel. It's the hub for everything related to a patient, including:

  • Personal information — demographics, contact details, date of birth

  • Notes — standard, warning, urgent notes, all for internal use

  • Appointments — upcoming and past appointments

  • Exams — exam history and the ability to open or create exams

  • Messages — patient communications, including the ability to send intake forms and message templates

  • Optical Orders — optical orders (contacts and glasses)

  • Invoices — generated from visits and/or optical orders

  • Claims — created from invoices, includes current status

  • Prescriptions — history of medical prescriptions entered using e-prescribe

  • Files — scan or upload any important files and documents

  • Forms — history of Intake Form submissions

  • Letters — generated from finalized exams, includes referrals, consults, school/work notes, etc.


Personal information fields

Patient demographics are captured in the New Patient modal when you add a patient, and can be changed later in Edit Personal Information from the patient profile.

Along with first name, last name, and date of birth, you can record:

  • Middle Name — stored as its own field, separate from first name

  • Prefix — ex. Mr, Mrs, Dr

  • Suffix — ex. Jr, Sr

  • Credentials — ex. OD, MD

  • Preferred Name — the name the patient goes by

  • Race — select one or more

  • Ethnicity — select one

Race accepts more than one selection. The available options are American Indian or Alaska Native, Asian, Black or African American, Native Hawaiian or Other Pacific Islander, White, Other Race, and Asked but unknown.

Ethnicity accepts a single selection: Hispanic or Latino, Not Hispanic or Latino, or Asked but unknown.

To add these when creating a patient

  1. Click Patients in the left side menu, then click New Patient.

  2. Complete First Name and Last Name — both are required.

  3. Fill in any of the demographic fields above.

  4. Click Create.

To update them on an existing patient

  1. Open the patient's profile.

  2. Open Edit Personal Information.

  3. Update the fields.

  4. Click Save.

Saved values appear in the Personal section of the patient profile and in the profile sidebar. Race and ethnicity also appear in the patient overview panel.


How to find a patient

  1. Universal Search Bar - At the top of nearly every page of Barti is our Universal Search bar. Or click Patients in the left side menu to access the Patient Search page.

  2. Search by the patient's name, date of birth, phone number, or MRN.

  3. Click the patient's name in the results to open their profile.

**NOTE** - Patients cannot share the same MRN. If imported from an old system, they can have a Historical MRN and their new MRN, but the MRN within Barti will be unique within the system.


Common tasks from the patient profile

Send an intake form

Navigate to the Messages tab and select the intake message template. See How do I send and manage intake forms in Barti? for full details.

Create or view an exam

Navigate to the Exams tab to view a history of previous exams and visits. Or click the big blue New Exam button to start a new chart!

Create an appointment

Click the Appointment button in the top right hand corner of the profile.
