Who this is for: All Barti users who post insurance payments.
Before you start, you'll need:
The EOB (Explanation of Benefits) for the payment you're posting
The check or EFT reference number (for manually created payment groups)
Why Insurance → Payments, even for one patient?
You can technically add an insurance payment directly on an individual invoice, but it isn't recommended — even when you're only posting for a single patient. Adjustments from the insurance provider, which are extremely common on insurance payments, aren't handled properly when posted directly to an invoice. Posting through Insurance → Payments instead ensures adjustments are applied correctly.
Insurance → Payments groups payments by EOB, so when multiple patients are on the same check, it keeps them together and applies everything cleanly at once — but a payment group can hold just one patient's invoice just as easily.
Before you start: matching the EOB (TriZetto claims)
This matching step applies to payments TriZetto posts automatically. For VSP and other claims TriZetto can't clear, skip ahead to Step 1 below — you'll create the payment from scratch instead of matching an existing one.
Medical payments from TriZetto appear in Barti automatically, but the EOB isn't attached. Before posting, locate the matching EOB:
In Barti, go to Insurance → Payments and find the payment with Needs Review status. Note the reference or check number.
In TriZetto, go to Manage Payments → View Insurance Payments → Advanced Search. Search by check number. If it doesn't appear, try adjusting the date range by ±1 day — Barti sometimes shows the payment one day before TriZetto's official check date.
Open the EOB in TriZetto and keep it visible alongside Barti while posting.
For iMed (EyeMed) payments: always pull the EOB from the iMed portal — not TriZetto. The TriZetto version of iMed EOBs doesn't show chargebacks, which will cause your math to be wrong.
For VSP payments: pull the EOB from the VSP portal.
Steps
Step 1: Open Insurance → Payments
In the left navigation bar, click Insurance, then Payments.
Step 2: Open or create a payment group
If the claim was submitted through TriZetto: a payment group is created automatically, with invoices already added via our TriZetto integration. It appears with a status of Needs Review. Open it and skip ahead to Step 4 — there's no need to add invoices yourself.
If the claim was not submitted through TriZetto (for example, VSP): create a group manually.
Click Add Insurance Payment in the top right.
Select the insurance payer from the dropdown. VSP note: VSP has no payer ID and won't appear in the autocomplete — type "VSP" directly in the payer field and it will still post correctly.
Optionally upload the EOB file to the payment record, so you don't have to return to the portal to find it later.
Fill in the header fields. These stay pinned to the top of the screen as you scroll, so the payment amount stays visible while you work down the group.
Field | Notes |
Payment Method | EFT or Check |
Check Date | Date shown on the EOB or check |
Reference Number | Check or EFT reference number |
Payment Amount | Full dollar amount of the check — can be negative for chargebacks |
Step 3: Add invoices to the group
(Manual payments only — skip this step for TriZetto payments, since invoices are already added.)
The + Add Invoice(s) button in the top right has two ways to add invoices, depending on whether you want to add several at once or search for one patient at a time.
To add multiple invoices at once, click the main body of + Add Invoice(s):
Set the date range (defaults to the last 90 days; must be under 366 days, and both a start and end date are required — the list stays empty until both are filled in).
Optionally filter by location. Click Clear to reset the date range and location to default.
Check the box on each invoice from the EOB you want to include. The table shows Status, #, Date, Patient, Location, Date of Service, and Balance Due. Clicking an invoice # opens that invoice in a new tab.
Check the running count and Total at the bottom against the check amount as you select. Selections are kept even if you change filters — invoices outside the current filter are counted as "(N not shown)" and are still included.
Click Add Invoice(s) to confirm.
To add one patient's invoice at a time, click the down caret next to + Add Invoice(s) and select Add Invoice by Patient:
Search for the patient by name.
Select the invoice, date of service, and insurance.
Click Load to add it.
Repeat for every patient on the EOB.
Both paths land in the same payment group.
Step 4: Review charges and apply payment amounts
Review the charges and adjustments for each invoice in the group. The service-line column headers stay pinned as you scroll, so Outstanding Ins Resp, Adj Code, Adj Amount, and Ins Amount Paid stay labeled down the whole group.
If the claim was submitted through TriZetto, payment and adjustment amounts auto-populate from TriZetto. Confirm they're correct against the EOB — do not rely solely on what auto-populated.
If the group was created manually, enter the payment and adjustment amounts for each line item yourself.
Clicking Add Adjustment on a line pre-fills the amount with what insurance still owes on that line — overwrite it if the EOB says something different. A second adjustment on the same line pre-fills with whatever remains after the first.
Hover over a code in Adj Code to see what it means. For example, PR-2 shows "Patient Responsibility - Coinsurance Amount."
Remark codes the payer sent appear in the Reason/Remark Codes: row at the bottom of each invoice. Hover over a remark code to see its description.
Confirm the running total at the bottom matches the Payment Amount from your EOB.
Step 5: Apply the payment
Click Apply Payments to Invoices.
If the total doesn't match the check amount — for example, because some patients were billed in a previous system — Barti shows an Amount Mismatch dialog: "The payment amount $X does not match the total amount entered $Y. Do you want to proceed anyway?" Click Proceed to post as entered, or Cancel to go back and correct the amounts.
Step 6 (TriZetto claims): Mark as worked
After posting, check the Worked By box next to the payment in TriZetto. This tracks daily progress and lets colleagues know what's already been processed.
Step 7 (VSP and other non-TriZetto claims): Finalize the claim
Posting the payment does not update the claim's status automatically for claims TriZetto can't clear electronically. Open the claim and click Finalize Claim (next to Submit Claim, top right of the claim) to mark it Paid. See What do claim statuses mean in Barti?.
What you'll see when it works
The payment status in Barti changes from Needs Review to Complete. Each patient's invoice updates to reflect the payment and any adjustments applied.
Open the completed payment from Insurance → Payments to see the Posted Payments page. The History section at the bottom shows when the payment was applied and by whom, for example: 10/02/2026 - 02:49 PM - Insurance payment applied by J. Rivera.
Troubleshooting
Can I post an insurance payment directly on an invoice instead of through Insurance → Payments?
Technically yes, but it isn't recommended — even for a single patient. Adjustments from the insurance provider, which are common on most insurance payments, aren't handled properly when posted directly to an invoice. Use Insurance → Payments instead.
A payment is showing Needs Review, but I can't find the matching EOB in TriZetto.
There's typically a 24–48 hour delay between TriZetto receiving the EOB and it appearing in Barti. Also try adjusting the TriZetto date range by ±1 day. If the payment still doesn't appear after 48 hours, email [email protected].
What does an adjustment code or remark code mean on an insurance payment?
Hover over the code. An adjustment code such as CO-45 in the Adj Code column shows both parts of its meaning: the group (for example, Contractual Obligations) and the reason. Remark codes such as MA01 appear in the Reason/Remark Codes: row at the bottom of each invoice, and hovering shows the payer's remark description. Descriptions come from the published industry code lists.
Why doesn't an adjustment code show a description when I hover over it?
Barti doesn't have a description on file for that code, so it shows as the code only. Check the payer's EOB for its meaning. A code you type in yourself shows its description once your changes save. A missing description never stops you from applying the payment.
A line has an orange (!) and I can't enter an amount on it.
The payer paid for a service the invoice no longer has, so there's no charge for that money to post against. The line is read-only and blocks the whole group — clicking Apply Payments to Invoices shows "No matching invoice charge — payments cannot be applied. Please update the invoice to match the claim." and nothing posts. Add the charge back to the invoice using the same code and modifiers, then reload the payment group. See What does the exclamation point (!) warning mean on a payment in Barti?
The total doesn't match the check amount after adding all patients.
This is expected when some patients on the check were billed in a previous system. Click Apply Payments to Invoices and proceed when the Amount Mismatch dialog appears — Barti handles the difference correctly. Keep a separate note of the variance for your records. Don't proceed, though, until you're confident the difference is actually expected; corrections after posting are more difficult.
How do I see who applied an insurance payment?
Go to Insurance → Payments and open the completed payment. The History section at the bottom of the Posted Payments page lists the date, time, and staff member who applied it. Only applying a payment is recorded. Payments applied before October 7, 2026 have no history entry.
I need to transfer patient responsibility after posting.
Patient responsibility transfers must be done at the invoice level — they can't be completed from mass payments. After posting, go to the individual invoice and transfer the balance there.
I posted a VSP (or similar) payment, but the claim still doesn't show as Paid.
Claims TriZetto can't clear electronically, like VSP, don't update automatically the way TriZetto-posted claims do. After posting the payment, open the claim and click Finalize Claim to update its status. See What do claim statuses mean in Barti?
Why is an invoice greyed out and not selectable in the Add Invoice(s) list?
That invoice already belongs to another in-progress payment group, so it can't be added twice. Hover over the row to see which payer's payment is holding it and when that payment was created. Finish or remove the invoice from that payment first.
Why don't I see the Add Invoice(s) button?
The bulk invoice picker is enabled per practice. If your payment shows Add Invoice to Group instead, add each patient individually — the result is the same. Email [email protected] to ask about enabling it.
No invoices appear in the Add Invoice(s) list.
The list only shows invoices with an outstanding balance for this payment's payer, within the selected date range and locations. Widen the date range or clear the location filter. If it's still empty, "No open invoices match the selected filters" means there's nothing outstanding for that payer in that window.
I need to delete a payment group.
Use Delete Payment in the three-dot menu. It's only available on payment groups with no EDI file attached, and only to users with permission to delete payments. Deleting a payment group can't be undone.
