Who this is for: All Barti users who post insurance payments.
Why the warning appears
An orange exclamation point (!) next to a CPT/HCPCS code on a payment group means the payer paid for a service that Barti can no longer find on the invoice. The claim was submitted, then the invoice changed — a charge was removed, replaced, or its modifiers were edited — so the payer's line has nothing to post against.
A common cause: a claim was denied and resubmitted, and the invoice was corrected in between.
Barti re-checks every line against the invoice each time you open the payment group, so this warning always reflects the invoice as it stands right now. A payment group you have already posted is shown exactly as it posted and is not re-checked.
What the warning does
A flagged line is read-only and it blocks the whole payment group from posting. On that line you cannot enter an Ins Amount Paid, add or edit an adjustment, or delete one.
If you click Apply Payments to Invoices while a flagged line is in the group, the payment does not post. A message appears in red beneath that line's Ins Amount Paid field:
No matching invoice charge — payments cannot be applied. Please update the invoice to match the claim.
Everything the payer sent on that line — the amount, code, modifiers, adjustments, and remark codes — stays on screen. Nothing is lost while you fix the invoice.
Steps
Hover the orange (!) next to the CPT/HCPCS code to confirm which line is flagged.
Open the invoice for that patient. The invoice number in the payment group opens it in a new tab.
Compare the invoice's charges against the payer's line. The charge the payer paid on is either missing, or present with different modifiers.
Add the charge back to the invoice with the same code and the same modifiers the payer billed. Modifiers must match — a charge re-added with different modifiers is treated as a different service and will not reconnect.
Return to the payment group and reload the page.
The line reconnects to the charge, the (!) clears, and the payer's amount is still there. You do not need to re-key it from the EOB.
Click Apply Payments to Invoices.
What you'll see when it works
The orange (!) disappears, the line's fields become editable, and the payer's amount is intact. Apply Payments to Invoices posts the group, and the payment status changes to Complete.
Troubleshooting
I re-added the charge but the line is still flagged.
The modifiers most likely don't match. Barti reconnects a payer's line only to a charge with the same code and the same set of modifiers — a different modifier means a different service. Compare the modifiers on the invoice charge against the payer's line and correct the invoice.
Also confirm you reloaded the payment group. The re-check runs when the group loads, so a group left open on screen still shows the old state.
A line appeared in the group with a $0.00 amount that the payer didn't send.
That's expected. A charge on the invoice that no payer line matches is added to the group as its own line with a zero amount, listed after the payer's lines. Enter an amount if the payer did pay it, or leave it at zero. Charges Barti does not file to insurance are not added this way.
The charge shouldn't be on the invoice at all — the payer paid it in error.
Removing the charge from the invoice does not clear the flag; the payer's line stays flagged and still blocks the group. Remove the invoice from the payment group instead, then post the remainder. Handle that payer line separately.
Can I just post the rest of the group and deal with this line later?
No. A flagged line blocks the entire group. This is deliberate — previously the group would post and that line's money would silently go nowhere, leaving the invoice's balance wrong.
The insurance responsibility column shows blank on the invoice.
Open the invoice directly and confirm the insurance responsibility column has an amount greater than $0. If the whole charge sits in the patient responsibility column, correct the split on the invoice, then reload the payment group.
I deleted an old adjustment but the invoice still isn't balancing.
Check whether an earlier payment already zeroed out the invoice. If so, the resubmitted claim may need to post as a new payment entry rather than a correction to the existing one. Contact [email protected] if the invoice can't be reconciled.
