How do I post an insurance payment in Barti using mass payments?

Go to Insurance → Payments, click Add Insurance Payment, fill in the header fields, then add each patient from the EOB one at a time. Always use mass payments for insurance posting — never post directly to individual invoices.

Why mass payments?

Always post insurance payments using mass payments, not invoice-by-invoice. Posting directly to individual invoices causes balance errors and makes reconciliation nearly impossible when multiple patients are on the same check. Mass payments keep all patients on one EOB grouped together and apply everything cleanly at once.


Before you start: match the EOB to the Barti payment

This matching step applies to payments TriZetto posts automatically. For VSP and other claims TriZetto can't clear, skip ahead to Step 1 — you'll create the payment from scratch rather than matching an existing one.

Medical payments from TriZetto appear in Barti automatically, but the EOB is not attached. Before posting, locate the matching EOB:

  1. In Barti, go to Insurance → Payments and find the payment with Needs Review status. Note the reference or check number.

  2. In TriZetto, go to Manage Payments → View Insurance Payments → Advanced Search. Search by check number. If it doesn't appear, try adjusting the date range by ±1 day — Barti sometimes shows the payment one day before TriZetto's official check date.

  3. Open the EOB in TriZetto and keep it visible alongside Barti while posting.

For iMed payments: always pull the EOB from the iMed portal — not TriZetto. The TriZetto version of iMed EOBs does not show chargebacks, which will cause your math to be wrong.

For VSP payments: pull the EOB from the VSP portal.


Steps

1. Open mass payments

In Barti, go to Insurance → Payments and click Add Insurance Payment in the top right.

2. Select the payer

Select the insurance payer from the dropdown.

VSP note: VSP has no payer ID and will not appear in the autocomplete. Type "VSP" directly in the payer field — it will still post correctly.VSP and other claims TriZetto can't clear electronically don't go through the Needs Review matching process above — you're creating the payment from scratch here using the EOB from the VSP portal. Posting the payment does not update the claim's status. You'll separately need to click Finalize Claim (next to Submit Claim, top right of the claim) to mark it Paid. 3. Upload the EOB (optional but recommended)

Upload the EOB file to the payment record for future reference. This saves you from having to return to the portal to locate it later.

4. Click Create Invoice Payment List

5. Fill in the header fields

Complete these fields before adding any patients:

6. Add invoices from the EOB

How you add invoices depends on which controls your practice has. Look at the button in the top right of the payment.

If you see Add Invoice(s) — you can pull in every open invoice for this payer at once:

  1. Click Add Invoice(s).

  2. Set the date range. It defaults to the last 90 days. The range must be less than 366 days — a longer span shows "Date range must be less than 366 days." and no invoices load.

  3. Optionally filter by location. Click Clear to reset the date range and location back to the default.

  4. Select the invoices from the EOB using the checkboxes. The table shows Status, #, Date, Patient, Location, Date of Service, and Balance Due. Click an invoice # to open that invoice in a new tab.

  5. Check the running count and Total at the bottom against the check amount as you select.

  6. Click Add Invoice(s) to add them to the payment.

If you see Add Invoice to Group — add each patient one at a time:

  1. Click Add Invoice to Group.

  2. Search for the patient by name.

  3. Select the correct date of service and insurance, then click Load.

  4. Repeat for every patient on the EOB.

Both paths land in the same payment. Practices with Add Invoice(s) can still add a single patient by name — click the arrow next to Add Invoice(s) and choose Add Invoice by Patient.

Once the invoices are in, enter the payment and adjustment details for each line item. See the relevant posting articles for plan-specific instructions:

7. Verify the total and apply

When all patients are entered, the running total at the bottom should match the check amount. If it doesn't — for example, because some patients were billed in your previous system — click Apply Payment anyway. Barti will warn you of the difference and allow you to proceed.

8. Mark as worked in TriZetto

After posting, check the Worked By box next to the payment in TriZetto. This tracks daily progress and lets colleagues know what has already been processed.


What you'll see when it works

The payment status in Barti changes from Needs Review to Complete. Each patient's invoice updates to reflect the payment and any adjustments applied.


Troubleshooting

A payment is showing Needs Review but I can't find the matching EOB in TriZetto.

There is typically a 24–48 hour delay between TriZetto receiving the EOB and it appearing in Barti. Also try adjusting the TriZetto date range by ±1 day. If the payment still doesn't appear after 48 hours, contact [email protected].

The total doesn't match the check amount after adding all patients.

This is expected when some patients on the check were billed in a previous system. Click Apply Payment and proceed — Barti handles the difference correctly. Keep a separate note of the variance for your records.

I need to transfer patient responsibility after posting.

I posted a VSP (or similar) payment, but the claim still doesn't show as Paid.

Claims TriZetto can't clear electronically, like VSP, don't update automatically the way TriZetto-posted claims do. After posting the payment here, open the claim and click Finalize Claim to update its status. See What do claim statuses mean in Barti? for details.

Patient responsibility transfers must be done at the invoice level — they cannot be completed from mass payments. After posting, go to the individual invoice and transfer the balance there.

Why is an invoice greyed out and not selectable in the Add Invoice(s) list?

That invoice already belongs to another in-progress payment group, so it can't be added twice. Hover over the row to see which payer's payment is holding it and the date that payment was created. Finish or remove the invoice from that payment first, then it becomes selectable here.

Why don't I see the Add Invoice(s) button?

The bulk invoice picker is enabled per practice. If your payment shows Add Invoice to Group instead, add each patient individually — the result is the same. Contact [email protected] to ask about enabling it.

The invoice count at the bottom is higher than what I can see in the list.

Your selections are kept when you change the date range or location filter, so a selected invoice may fall outside the filter you're now looking at. The count shows "(N not shown)" for those. They're still selected and will be added.

No invoices appear in the Add Invoice(s) list.

The list only shows invoices with an outstanding balance for this payment's payer, within the date range and locations selected. Widen the date range or clear the location filter. If it's still empty, "No open invoices match the selected filters." means there's nothing outstanding for that payer in that window.
