Who this is for: All Barti users who bill for optical orders.
Before you start, you'll need:
The Add provider to optical charges setting enabled for your organization (Settings → General → Invoices)
How it works
If your organization has Add provider to optical charges enabled, Barti automatically attaches the prescribing provider to the charges created from a glasses or contact lens order — alongside the staff member who placed the order.
For the provider to be attached, all of the following must be true:
The setting is enabled for your organization.
The prescription was pulled from a Barti exam using Use Exam Rx. Manually entered prescriptions aren't linked to an exam.
The exam was signed before the invoice was created.
The signing provider is still an active staff member.
There's no time limit between the exam and the purchase — a patient can buy glasses or contacts weeks or months after their exam, and the provider will still be attached, as long as the order's prescription is linked to that exam.
What's not covered
Automatic provider attribution applies to glasses and contact lens orders only. Other products — supplements, drops, and other retail items — don't receive a provider automatically. Add one manually in the Charge modal on the invoice if needed.
Troubleshooting
Why is the doctor missing from some of my glasses or contact lens charges?
The most common reason is that the prescription was entered manually rather than pulled from a Barti exam with Use Exam Rx. The provider also won't attach if the exam was signed after the invoice was created — attribution is set at the moment the invoice is generated and isn't applied retroactively. You can add the provider directly in the Charge modal on the invoice.
Does the patient need to buy glasses or contacts the same day as their exam for the doctor to attach?
No. There's no time limit. A patient can purchase glasses or contact lenses weeks or months after the exam, and the provider will still be attached, as long as the order's prescription is linked to that exam.
Do supplements and other retail products get the doctor automatically?
No. Automatic provider attribution applies to glasses and contact lens orders only. For other products, add the provider manually in the Charge modal.
I've confirmed all the conditions above are met, but the provider is still missing.
