Who this is for: Providers and clinical staff on the Barti Copilot plan with Quinn Scribe enabled for their organization.
Before you start, you'll need:
A Barti Copilot plan with Quinn Scribe enabled for your organization. If you aren't on the plan or don't see Transcribe, email [email protected] to upgrade or request access.
A connected microphone, with microphone access granted to your browser. (The MXL AC-44 is a recommended microphone.)
If your organization requires patient consent before transcription, the patient's consent. See the troubleshooting section below.
Video walkthrough
Important Note: If you navigate away from the exam tab while Quinn is recording, the microphone will automatically stop. Return to the exam tab and press the microphone icon to restart the recording session.
What Quinn can fill out
Quinn automatically populates the following fields during an exam:
Chief Complaint
Manifest Refraction
IOP
Anterior Segment
Posterior Segment
Dilation
Confrontation Visual Fields
Assessment and Plan (via the Autocode button)
Steps
Open a patient record and go to an Exam.
Confirm your microphone is connected and your browser has permission to use it.
Click Transcribe in the exam top bar. The button turns red and changes to Listening to show Quinn Scribe is recording.
If your organization requires patient consent, a Confirm Patient Consent dialog appears. Confirm the patient has consented, then click Patient Consented. You only need to do this once per exam.
Conduct the exam as you normally would and speak naturally. Quinn Scribe listens to the whole visit and fills in the matching exam fields.
(Optional) To pull diagnoses into the Assessment and Plan, say "Code for me" or "Autocode."
When the visit is done, click the red Listening button to stop recording. The button changes back to Transcribe.
Review every field Quinn Scribe filled in, and edit anything that needs correcting before you save the exam.
Note: If you navigate away from the exam tab while Quinn is recording, the microphone stops automatically. Return to the exam tab and press the microphone icon to restart the session.
What you'll see when it works
If you hover over the button, a tooltip shows Start Transcription (before you begin) or Stop Transcription (while recording).
As Quinn Scribe hears information for a field, it moves to that section of the exam, highlights the updated field, and plays a chime. When you stop recording, everything it filled in stays in the exam for your review.

Troubleshooting
Why don't I see the Transcribe button?
Quinn Scribe is only available on the Barti Copilot plan, and it must be enabled for your organization. If you don't see Transcribe in the exam top bar, email [email protected] to confirm your plan and request access.
Why am I being asked to confirm patient consent?
Your organization has turned on Require patient consent before transcription in Settings → General → AI Scribe Patient Consent. Confirm the patient has consented and click Patient Consented. The confirmation is saved to the exam, so you only do this once per exam. An organization admin can turn the setting off, but disabling it may require updates to your practice's Privacy Policy.
Quinn Scribe isn't responding when I click Transcribe.
Confirm your microphone is connected and your browser has microphone access. If the issue continues, refresh the page and try again. If it still doesn't respond, email [email protected].
Quinn Scribe stopped recording on its own.
The microphone stops automatically when you leave the exam tab. This prevents accidental recording across multiple open tabs. Return to the exam tab and click Transcribe to restart.
Ctrl+B (Windows) or Cmd+B (Mac) doesn't start recording.
The keyboard shortcut no longer starts Quinn Scribe. Click Transcribe in the exam top bar instead.
Should I use the microphone icons next to individual fields?
Use the Transcribe button in the exam top bar instead. Some fields still show their own microphone icon, but results from those icons can be inconsistent. The Transcribe button fills in all supported fields from one recording.
Will Quinn Scribe replace what's already in a field?
It depends on the field. If the visit returns to a section, Quinn Scribe fills that section in again based on what it hears. Four areas are never replaced. Quinn Scribe adds new entries instead: Assessment and Plan, Medical History, Allergies, and Plans. Always review the exam before you save it.
Will Quinn Scribe replace my own note entry?
No. Quinn Scribe fills in fields from what it hears, but you should review and edit every note before saving. It is a documentation aid, not a replacement for your clinical judgment.
