How do I set up an imaging device for machine integration?

J
Written by Joe Gorup

Quick answer: Install the imaging version of the Barti Machine Integration app, add the folder where your OCT, visual field analyzer, fundus camera, or slit lamp camera saves files, name the device, and pick its device type.

Who this is for: Practice admins only.

Before you start, you'll need:

  • Admin access to your Barti organization

  • A Windows computer that stays on, stays connected to the internet, and can open the folder where your device saves its files

  • Your device set up to save images or PDFs (.jpg, .jpeg, .png, or .pdf) to a folder on that computer or on your network

  • The path to that folder

If this is your first Machine Integration device, follow How do I set up Barti's machine integration? for the API key and office location steps, then come back here to add the imaging device.

Steps

1. Download the imaging app

  1. Log into Barti with an admin account.

  2. Go to Organization Settings > Integrations.

  3. Scroll down to the Machine Integration section.

  4. Click Download Desktop App (Imaging) and save the file.

  5. Double-click Barti Machine Integration.msi and click Next > Next > Install > Finish.

2. Add the folder your device saves files to

  1. Open the Barti Machine Integration app.

  2. Under Office Location, select the location where the device is used.

  3. Click Add Directory and select the folder where your device saves images or PDFs.

3. Name the device

  1. In the Device Name column, type a name for the device.

  2. Include the device model and, if you have more than one exam lane, the lane (for example, "Lane 2 - OCT"). Staff see this name when they review imported files, and it becomes the default label on the file in the patient's record.

Each device needs a name, and no two devices can share one.

4. Choose the device type

  1. In the Device column, click the dropdown.

  2. Under Diagnostic Devices, select OCT, Visual Field Analyzer, Fundus Camera, or Slit Lamp Camera.

5. Choose whether to delete files after import

  1. Turn on Delete after import to remove each file from the folder once it has uploaded to Barti.

  2. Leave it off to keep the original file in the folder.

6. Finish setup

  1. Click Finish Setup.

What you'll see when it works

The app watches the folder and uploads each new .jpg, .jpeg, .png, or .pdf file. The green icon spins while a file is uploading. Uploaded files appear in Barti under Exams > Imported Data, listed with the device name you entered. Staff attach them to a patient's exam from there or from inside the exam. Troubleshooting

Why aren't my device's files showing up in Barti?

Check these in order:

  • The app only watches the top level of the folder you added. Files saved in a subfolder are ignored. Add the subfolder as its own directory, or change the device's export location.

  • The app only uploads .jpg, .jpeg, .png, and .pdf files. Other file types are skipped without a message.

  • Files larger than 50MB are not uploaded. The app shows "File exceeds 50MB and was not uploaded."

  • The computer must be on and the app must be running when the file is saved. The app does not upload files retroactively.

Why does Barti say "This name is already used by another device"?

Every device needs its own name. Add the lane or room to the name to make it unique, for example "Lane 1 - OCT" and "Lane 2 - OCT".

Why does Barti say "Enter a device name"?

The Device Name field is required. Type a name before you click Finish Setup.
