Who this is for: Any Barti staff member who creates or manages optical orders (contact lenses and glasses).
Before you start, you'll need:
An existing optical order in Barti
For FAIT and Vision Web orders: the order must have reached a fulfillment stage before you can set a practice status. See "Why can't I change the status of my order?" below.
How statuses work by supplier
Every optical order has one status. Who controls it β and which statuses are available β depends on the supplier the order was sent to.
Throughout this article: βοΈ means you drive this (by creating, holding, or submitting the order, or by choosing it from the status dropdown). π means view only β set automatically by the supplier or by Barti; you can only watch it.
Each supplier moves an order through the same three phases β prep β at the lab β at your practice β but the lab stages differ, and the supplier only takes over during the middle phase.
FAIT β contact lens orders
Prep (βοΈ you): Draft β Hold (optional) β To Order (set automatically by Barti while the order is queued to send)
At the lab (π view only): Order Received β Order Processing β Order Shipped
At your practice (βοΈ you): Received β Verified β Notified β Dispensed
Exceptions the lab may set: Order Issue, Order Closed, Cancelled
If a problem happens at your practice: Issue
Vision Web β glasses orders
Prep (βοΈ you): Draft β Hold (optional) β To Order β Ordered
At the lab (π view only): Order Received β Order Processing β Order Shipped
At your practice (βοΈ you): Received β Verified β Notified β Dispensed
Vision Webβonly lab statuses you may see: Order Waiting, Order Redo, Order Other
Exceptions the lab may set: Order Issue, Order Closed, Cancelled
If a problem happens on your end: Issue
Other β manually entered orders (no connected supplier)
No lab phase β you drive the whole lifecycle, and you can edit or delete the order at any time: Draft β Hold (optional) β Ordered β Received β Verified β Notified β Dispensed. If a problem happens: Issue.
How statuses map to the progress bar
The trail at the top of an order is a fixed five-step stepper. The status pill next to the order name shows the exact live status; the bar below shows which milestone that status rolls up to. Each completed step also shows who set it and when (for example, "FAIT Order Status Update β 06/02/2026").
Step on the bar | Statuses that land on this step | What turns it red |
1. Ordered | Ordered | β |
2. Supplier step | Order Received, Order Approved, Order Shipped β the step relabels itself to the latest one. Reads "Processing" until the first arrives. | Order Issue |
3. Verified | Received, Verified β relabels to the latest. Reads "Verified" before it's reached. | Issue (your-practice issue) |
4. Notified | Notified | β |
5. Dispensed | Dispensed | β |
A few statuses appear in the status pill or dropdown but have no step on the bar, so the bar won't visibly move when you see them:
Order Processing, Order Closed, Cancelled β and the Vision Webβonly Order Waiting, Order Redo, Order Other β show in the top pill but don't advance the supplier step (it only tracks Order Received β Order Approved β Order Shipped, plus Order Issue).
Draft, Hold, To Order never appear on the bar β the trail starts at Ordered, once the order is submitted.
Each status is also color-coded on its pill: in motion, good/done, needs attention before submitting, or a problem.
In short: the status pill = your exact status; the bar = the five milestones.

Steps β updating an order's status
The steps are the same for every supplier; only the available options differ.
Open the optical order you want to update.
In the order header, open the status dropdown labeled Update order status...
Select the new status. Options appear as Status: Received, Status: Verified, and so on.
Click Save to apply the change.
FAIT and Vision Web orders: the dropdown offers Received, Verified, Notified, Dispensed, and Issue β but only after the order has reached a fulfillment stage.
Other orders: the dropdown offers Draft, Hold, Ordered, Received, Verified, Notified, Dispensed, and Issue at any time.
The dropdown reads Update order status... until a practice status is set, then shows the current one β for example, Status: Dispensed.
What you'll see when it works
The order header reflects the new status immediately, and the change is recorded in the order's Order History (in the Internal Notes section), which lists each status change with the staff member's name and the date. For FAIT contact lens orders, the order's progress through the supplier stages is also shown as a visual status trail at the top of the order.
Troubleshooting
Why can't I change the status of my order?
For FAIT and Vision Web orders, the status dropdown becomes available only after the supplier has begun fulfilling the order β once it reaches Order Received, Order Approved, or Order Shipped. While the order is still in Draft, Hold, To Order, or Ordered, its status is driven by the workflow and the supplier, so you can't change it manually. Other (manually entered) orders can be changed at any time.
Why can't I delete this order?
For FAIT and Vision Web orders, you can delete it only while it's in Draft or Hold. Once it's been submitted (Ordered or later), it can no longer be deleted. Other orders can be deleted at any time.
Why can't I edit the items or details on this order?
You can edit an order's items and details only while it's new (not yet saved) or in Draft or Hold. After submission, the details are locked and you can only update the status.
What's the difference between "Order Issue" and "Issue"?
Order Issue is set automatically when the supplier (FAIT or Vision Web) flags a problem with the order. Issue is a practice status you set yourself when a problem happens at your practice (for example, a wrong or damaged item).
