How do I run the Accounts Receivable (Aging) Report in Barti?

Go to Reports → Insurance and open Patient Aging Report for patient balances or Insurance Aging Report for payer balances. Outstanding balances are grouped by age bucket so you can prioritize follow-up.

Who this is for: Billing staff and practice managers who monitor outstanding insurance and patient balances.

Steps

  1. In the left navigation, click Reports, then Insurance.

  2. Click Patient Aging Report for patient balances, or Insurance Aging Report for payer balances.

  3. On the Patient Aging Report, choose the scope:

  1. Apply any additional filters, such as Location.

  2. The report updates automatically as you change filters.

Reading the report

The aging report groups outstanding balances into five buckets by age: Current, 31-60 days, 61-90 days, 91-120 days, and 120+ days. Use this to prioritize follow-up — work the oldest buckets first.

To drill into a specific patient's balance, double-click on their name in the report. This opens the detailed invoice view for that patient.

Showing MRN, date of birth, and collections

The Patient Aging Report carries three columns that are hidden by default. Turn them on when you need them:

  • MRN — the patient's medical record number, for matching against another system.

  • DOB — the patient's date of birth, useful for telling apart patients with the same name.

  • Collections — the balance on invoices sent to collections, kept separate from the aging buckets.

To show them, hover over any column header, click the three-dot menu, click Manage columns, and toggle the column on. Your choice is remembered for next time.

Switching Collections on also adds a collections total to the summary at the top of the report.

Troubleshooting

The report is showing a claim as outstanding but it shows Paid in the Claims view.

The invoice may have a remaining balance that wasn't fully zeroed out when the payment was posted. Open the invoice and confirm all payments, write-offs, and patient responsibility amounts are correct.

I need to filter the aging report by a specific insurance payer.

Use the Insurance Aging Report (Reports → Insurance), which has an Insurance filter. The Patient Aging Report filters by Type and Location only.

I can't find the MRN, date of birth, or collections column.

All three are hidden until you turn them on. Hover over a column header, click the three-dot menu, click Manage columns, and toggle on MRN, DOB, or Collections.
