How do I export claims as an 837 EDI file?

How do I download an 837 EDI file for my claims in Barti?

Quick answer: From Insurance → Claims, select the claims you want, open the Download menu, and choose Bulk Export 837. Barti builds a single .edi file containing all selected claims and downloads it to your computer.

Who this is for: Barti administrators, and staff with the Manager role, at practices where 837 export has been turned on.

Before you start, you'll need:

  • 837 export enabled for your organization — contact your Barti representative if the Bulk Export 837 option isn't in your Download menu

  • Admin access, or the Manager role on your staff profile

  • The claims you want to export already created in Barti

Steps

1. Go to Insurance → Claims.

This opens the Insurance Claims list.

2. Narrow the list to the claims you want.

Use the filters above the table — patient, status, insurance, location, or date range — so the claims you need are on screen.

3. Select the claims to export.

Check the box on each claim row. You can select claims across multiple pages; your selections are kept as you page through the list. Once at least one claim is selected, the action bar appears above the table.

4. Open the Download menu.

In the action bar, click the arrow on the Download button to open its menu.

5. Choose Bulk Export 837.

The menu shows PDF with background, PDF without background, and Bulk Export 837. Select Bulk Export 837.

What you'll see when it works

Your browser downloads a single file named claim-export- followed by the date and time, ending in .edi — for example claim-export-20260903-141530.edi. It contains every selected claim in 837P format, ready to upload to a payer or clearinghouse portal.

Your claims are not changed by the export. Statuses stay exactly as they were — a Draft claim stays Draft, a Hold claim stays Hold — and nothing is sent to TriZetto. Export is a download only. Each exported claim does get an entry in its own history so you can see it was exported.

Troubleshooting

Why don't I see the Bulk Export 837 option in my Download menu?

Two things control it. First, 837 export has to be turned on for your organization — contact your Barti representative to request it. Second, your own account needs the right access: administrators have it automatically, and other staff need the Manager role on their staff profile. If the org has it enabled and you still don't see the option, ask an administrator to check your role under Settings → Staff Members.

Can I export claims that aren't ready to submit?

Yes. Unlike Submit Claims, export doesn't check whether a claim is complete and doesn't require Hold status. Draft and Hold claims export with the claim's current patient, insurance, and provider information, so you can check them in an external scrubber before you submit. Claims with missing information also export. Keep in mind the payer or portal you upload to will still validate the file, so an incomplete claim can be rejected there.

I got a message saying some claims failed to export.

The file still downloaded, with everything Barti could export included. Individual claims are skipped when Barti can't find an active claim on them, or when the claim can't be written into 837 format — usually because required information is missing. Open the skipped claims, fill in what's missing, and export those again.

Is there a limit on how many claims I can export at once?

Yes — 500 claims per export. If you select more than that, the export is rejected and nothing downloads. Use the filters to break a large batch into smaller groups.

Does exporting an 837 file submit my claims to the payer?

No. Export only produces a file on your computer. Nothing is transmitted, and claim statuses don't change. To send claims through Barti's clearinghouse connection instead, use Submit Claims.
