How do I find the next available appointment slot in Barti?

Quick answer: Use Next Available on the Calendar, or Find next available inside a new appointment, to search open slots by appointment type, provider, and location.

Who this is for: Staff scheduling appointments internally in Barti. This feature is available to organizations it has been turned on for.

Before you start, you'll need:

  • An Appointment Event Type already set up for the visit you're scheduling (the search requires one)


Steps

1. Choose where to search from

You can search for the next open slot from two places:

  • The Calendar, using the Next Available button

  • A new appointment you're already creating, using the Find next available section

2. Search from the Calendar

  • Click Next Available in the Calendar header.

  • In the Find next available panel, select an Appointment Type (required).

  • Optionally narrow the search by Provider and Location. Leave these on Any provider or Any location to search across your whole practice.

  • Optionally set an Earliest Date to start the search from a specific day. If left blank, the search starts from now.

  • Click Search.

3. Search from inside a new appointment

  • Start a New Appointment.

  • Expand Find next available.

  • Select an Appointment Type — the results won't populate until you do.

  • Barti searches automatically and shows a list of open slots.

4. Review and select a slot

  • Each result shows the day, time, provider, and location for that open slot.

  • From the Calendar search panel, click Load more to see additional results.

  • From inside the New Appointment form, use the arrows to page through results.

  • Click a slot to use it.


What you'll see when it works

  • From the Calendar: selecting a slot closes the search panel and opens a New Appointment form with the date, time, provider, and location already filled in from that slot, along with the appointment type you searched for.

  • From inside the New Appointment form: selecting a slot fills in the date, time, provider, and location fields directly on the form you're already working in, and the Find next available section collapses.


Troubleshooting

Why don't I see the Next Available button or Find next available section?

This feature is only enabled for organizations it's been turned on for. If you don't see it, it hasn't been enabled for your organization yet.

Why can't I search yet?

Appointment Type is required before Barti will search for open slots. If you haven't selected one, the panel will prompt you to do so instead of showing results.

Why does it say no available slots were found?

This means there's no open time matching your filters. The search looks about a month ahead from your Earliest Date (or from today, if left blank), so very distant dates may return no results. Try removing the Provider or Location filter to widen the search, or moving the Earliest Date closer to today.

Why can't I find this option when editing an existing appointment?

Find next available only appears when creating a new, non-repeating appointment. It isn't available when editing an existing appointment or on repeating appointments.
