Who this is for: All Barti users who track payments received and cash collected.

Before you start, you'll need:

  • A Barti account with permission to view reports

Steps

  1. In the left navigation, click Reports, then Billing.

  2. Click the Payment Method / Day Sheet tab.

  3. Choose your Date Range.

  4. Filter by Location, Payment Method, or Payor Type if needed.

  5. Review the breakdown of payments received by payment type.

  6. To export the data, click Download CSV.

What you'll see when it works

The report shows total payments received in the selected period, broken down by payment method, with a Total Payments amount for each. All amounts reflect cash collected — not charges billed. The report filters by payment date.

Payment methods shown include:

  • CASH

  • CHECK

  • CREDIT CARD

  • CREDIT CARD (TERMINAL)

  • CREDIT CARD (PROCESSOR)

  • EFT

  • ONLINE PAYMENT

  • OTHER

Patient Credit (CREDIT) payments are included in the totals, but currently show a blank Payment Method label in the table and can't be isolated using the Payment Method filter.

This is the recommended starting point for QuickBooks Online (QBO) reconciliation, since both the Payment Method / Day Sheet report and QBO measure cash collected rather than charges billed.

How this report pulls its data

  • Filters on payment date, which is user-entered and can be back- or forward-dated for most methods.

  • Stripe payments and Patient Credit are the exception — their date is locked to the day the payment was taken.

  • VOID invoices are excluded.

  • Insurance payments are included in the totals alongside patient payments; use the Payor Type filter to separate them.

Troubleshooting

Why doesn't the Payment Method / Day Sheet report match my Charge Detail report?

These reports measure different things. Payment Method / Day Sheet = payments received. Charge Detail = charges billed. A charge billed in one period may be paid in a different period, so the totals will differ. This is expected behavior.

Why doesn't the Payment Method / Day Sheet report match QuickBooks Online?

Common reasons include insurance payments categorized differently in QBO (posted to accounts receivable rather than income), sync timing gaps, and refunds or credits handled differently between systems. Start reconciliation from this report, then identify specific line items that don't carry over as expected.

Why does Payment Method / Day Sheet differ from Payments by Staff?

Both measure payments, but use slightly different timestamps. Payment Method / Day Sheet uses the payment date; Payments by Staff uses the timestamp when a payment is allocated to a specific charge line. Small differences between these two totals are expected.

Do credit card payments appear separately from terminal and processor payments?

Yes. CREDIT CARD, CREDIT CARD (TERMINAL), and CREDIT CARD (PROCESSOR) are reported as distinct payment methods. Add them together if you need a single combined credit card total.
